Privacy policy

This policy explains what personal information Mabna collects when you use the service, why we collect it, and the choices you have.
1. Information we collect
Account details (email address and password), association records entered by administrators (owner names, mobile numbers and emails, unit details, charges, payments, meetings, votes, decisions and documents), files you upload such as payment proofs and attachments, messages sent through the contact form (for a pilot request, also your building size range, your role and the tool you use today), reasons you give when you cancel a plan or end a trial, and basic technical data such as your language preference and security logs.
2. How we use it
To provide and secure the service, show each association its own records, send account and notification emails, respond to your enquiries, prevent abuse, and improve reliability. We do not sell personal information or use it for third-party advertising.
3. Who can see association data
Association data is visible only to members of that association according to their role, and to Mabna staff when needed to provide support or keep the service running. Association administrators are responsible for the accuracy of the owner data they enter and for having a lawful basis to share it.
4. Service providers and storage
We use infrastructure and email providers to host the application, store files and deliver email. They process data only on our behalf and under confidentiality obligations. Data is stored on servers we control or rent from those providers. If you accept analytics, Google also processes usage data for us (see Cookies). Some providers, including Google, may process data outside your country.
5. Cookies
Essential cookies keep you signed in, remember your language and theme, protect forms against forgery and remember your cookie choice for one year. They are always on. Nothing optional is collected unless you accept analytics. If you accept, we use Google Analytics (through Firebase) cookies to understand how people find and use Mabna; while you are signed in, these events carry internal account and association ID numbers, not your name or email. We also set a first-party cookie, kept for 90 days, that records how you reached us: the campaign tags in the link (source, medium, campaign and content), the referring website's domain (never its full address), the page you landed on, and whether you came from an ad click (never the click identifier itself). If you sign up or request a pilot while that cookie exists, we keep the record with your association or your request. You can change your choice at any time from Cookie preferences at the bottom of our public pages. Declining deletes these optional cookies from this browser and stops further collection; it does not remove records already sent or saved. We do not use advertising or cross-site tracking cookies.
6. Retention
We keep association records for as long as the association's account is active, and for a reasonable period afterwards to allow export and to meet legal or accounting obligations. Contact messages are kept only as long as needed to handle your request.
7. Your rights
You may ask to access, correct or delete your personal information, or object to how it is used, by contacting us. Where the data belongs to an association's records, we may need to refer your request to that association's administrators.
8. Security
We use encrypted connections, hashed passwords, access controls by role and audit logging. No system is completely secure, so please keep your password confidential.
9. Changes
We may update this policy from time to time. The date at the top shows when it last changed, and significant changes will be announced in the app or by email.
